But where to start? What kind of event should I have? When should I host it? Do I need to provide breakfast and lunch? There’s a lot to know about how to pulling off a successful event and Michele and Alexis are here to teach you how to get the most out of your time and financial investment.

You’ll Learn…
Week 1: Types of Events, Target Market and Venues
What to do with your idea: Who, who, what? (Who are you, who is going to attend, what are you going to give them?)
Type of Event: Seminar/ Conference with overnight/ Cosponsored Convention type/ Outdoor Facility, Type of Venues: Hotels, Retreat Centers, Office Conference Rooms, Private Dining Rooms, Churches, Halls, Conference Centers, Convention Centers, well known vs. boutique, Union properties vs. nonunion.
Picking a location City, State
Week 2 Budget, Pricing Marketing, Dates, RFP’s
Picking a date- Dates to avoid, when your attendees are most likely to come, weather during a certain time of year, flight cost, staying flexible to get the best deal
Pricing – Plan for the worst case scenario, including room rate in the price, or not, Start with Pricing or End with Pricing?
Looking from the participant’s perspective: Why do they want to come, is it easy (parking, lift, cost), what events compete with yours, asking them (surveys)
Promotion- Different Media- Internet, radio, newspaper, web, eblast, social networking, mail outs, Registration, Paypal
Partners- Exhibitors, sponsors, promotion avenues through partners.
Week 3 Creating an Agenda, Designing Content
What 3 key learnings will your attendee take away? How can you create content to speak to their needs? How to flow your timeline, with breaks, meals, beginning and ending time. Interactive or Lecture
Week 4 Event Basics: Food and Beverage, Audio Visual, Logistics Specs
Pesky logistics (sound, food, A/V, collateral materials) Putting together specs, asking for what works, ordering what you need, understanding the location’s ability to manage last minute changes, managing speakers speaking to the staff.
Catering- When to add it, is it necessary, how to get a hotel to work with in your budget, minimums, food options for your attendees if you’re not hosting an event.
Week 5 Using a 3rd Party, Contract Negotiations
Using a 3rd Party Planner- HelmsBriscoe, Conference Direct, Experient (Why, and what it means to you) Commission
Negotiating the contract: Concessions, Cancellation, Performance (rooms and food and beverage), making it a win win, rooms to space ratio, heads in beds = profits, room rental, what has tax and service charge attached.
Week 6 Managing the Event in Progress, Post Event
The day-of, Comfy shoes, communication on site, staying calm, volunteers, registration, breaks, Intro, setting expectations
Follow-up: Final Bill reconciliation, Zoomerang, Survey Monkey etc, offer discounts on next year’s event at the end of this years. Thank you notes and staff gratuity.

Alexis has spent 16+ years designing, selling and facilitating events from seminars to retreats to 4000 person conventions for Marriott International and Hilton Worldwide. She has worked as a Senior Event Manager and Senior Sales Manager for two of the largest hotel properties on the West Coast.
Michele Woodward Certified Martha Beck Master Coach 2007
A former White House Official, Michele has planned events that you’ve only seen on TV, for some of the most powerful politicians in the country. Her event planning skills and marketing expertise are renowned throughout the coaching community. She was recently asked to become the Executive Director of the bipartisan Ronald Reagan Centennial Commission, coordinating and developing nationwide events.
